The system offers a variety of reports that assist the moderators in managing documents. The reports can only be accessed by the P&P component moderators by clicking the Reports menu option and include:
- Active Documents (Excel) – Includes document title, location, effective date, next review reminder date, next review date, lead authors, and moderators.
- Active Documents Listing – Alphabetical listing of all active documents grouped by component. Report includes document title, location, moderators, effective date, next review reminder date, and next review date.
- Archived/Retired Document Listing – Listing of fully archived/retired documents, the collaboration history, and approval notes. The report is accessible to component moderators or portal only.
- Document Approval Information – Listing of documents along with their Approval and Review information.
- Document Assignments By User, Role, or Committee – Listing of user, role, and committee assignments.
- Document Draft Assignments and Status – Documents currently in draft with all assignments and record of when and by whom each activity was completed.
- Document Due By Review Date – Listing of documents that are due for review within a specific time frame
- Document Overdue with Authors – Listing of past due documents, including review and reminder dates and assigned lead authors. The listing is grouped by component and sorted by document names.
- Document Overdue with Moderators – Listing of past due documents, including review and reminder dates and assigned moderators. The listing is grouped by component and sorted by document names.
- Document Pending Action – Listing of documents where you have workflow responsibilities and someone’s action is required to review, start revision of, author, or approve a document. The report groups documents by current status and lists document titles, number of days they have been in the current status and names of staff or committees that are required to complete current step.
- Document Reminder Summary By User – Listing of documents pending action by login name.
- Document Revisions by Assigned Reviewer/Approver – Listing of document revisions based on currently assigned reviewer or approver.
- Document Summary Of Changes – Listing of documents and summaries of changes. The report includes documents authored, moderated, reviewed, or approved by user.
- Document Tasks by Committee – Listing of documents a committee has an assignment for and if the action is pending or complete.
- Document Timeline – Document timeline and collaboration notes. The report can be run by moderators for a specific component or published date ranges
- Document View Log – Excel friendly log of document views.
- Document View Summary – Listing of Documents number of views and last view dates..
- Document with Keywords Listing – Listing of past due documents, including review and reminder dates and assigned moderators. The listing is grouped by component and sorted by document names.
- Documents Pending Action (Excel) – Listing of documents you are a moderator of that currently require someone’s action related to review, revision, authoring, or approval. The report groups documents by current status and lists document titles, number of days they have been in the current status and names of staff or committees that are required to complete current step. This report is exportable to Excel.
- Documents Pending Read (Excel) – Excel exportable report showing read acknowledgments by component.
- Documents Pending Read by Document – Listing of pending read acknowledgments grouped by document.
- Documents Pending Read by User – Listing of pending read acknowledgements grouped by users
- Linked Documents Listing – Listing of linked documents and link locations
